Register for Digital Towpath

 

Eligibility

Any New York State local government, government-related association, school, school district, special use district or not-for-profit organization may establish a Digital Towpath website.

Membership in the Digital Towpath Cooperative is limited to local governments.

Registration

The process of establishing your new Digital Towpath website starts with the completion of the Registration Form available from the Links section below.

In order to complete the registration process, we will need the following three items:

  • Confirmation that the decision to join Digital Towpath is an official action of your executive board. There are two ways to do this:
    • Although it is not necessary to become a party to the intermunicipal agreement establishing the Digital Towpath Cooperative in order to participate in Digital Towpath, adopting the resolution to join the agreement satisfies this requirement. Please submit a copy of the resolution and signed IMA as documentation. (See Documents section of this page for downloadable copies of a sample resolution and the IMA).
    • If you opt not to join the intermunicipal agreement, a letter, on official letterhead, from your Chief Executive Officer or designee will also be accepted.
    • In either case, documentation must be received within 60 days of your initial registration.

  • Every registration must include a completed Additional Information Form available from the Forms section of this page. The form includes:
    • Designation of the primary contact and a secondary contact in matters relating to the website and information about your chief executive officer and billing contact.
    • Contact information must include an email address.
    • It is important that this information be current. If any contact information changes, please update us by email at support@digitaltowpath.org or by using the Contact Change Form available from the Forms section below.
  • On the Additional Information Form, you must also submit information about your domain name.
    • Digital Towpath will purchase a domain name for you if you don’t currently have one or want to change to a new one. We purchase dot-org domains. The customary format for Digital Towpath municipal domains is (Town, Village, etc.)of(Name).org.  If this is not available, we will try to get (Town, Village, etc.)of(Name) NY.org. If neither of these is available, we will contact you with other choices.
    • If you currently own a domain name, we will need information in order to incorporate the domain into the Digital Towpath system. Please list the domain name.  We will contact you for the additional information.
    • A new website database will be established as soon as your domain is in place. Designated contacts will be issued a user account and temporary password. These will be automatically generated by the Digital Towpath software and sent by email. The email will contain a link to the administrative portion of your website and information directing new users to change their temporary passwords. Content can then be added to your website database.
    • If you will be replacing an existing website, we will issue you a temporary development website using a subdomain of digitaltowpath.org. Designated contacts will be issued a user account and temporary password. These will be automatically generated by the Digital Towpath software and sent by email. The email will contain a link to the administrative portion of your development website and information directing new users to change their temporary passwords. Content can then be added to your website database. Visitors will be redirected from the old website to the new Digital Towpath website when it is ready.

 

Getting Help

Digital Towpath includes online help sections, accessed from each module, library and task, specific to that function. All help sections can be printed. The Digital Towpath Help page also includes a listing of these sections, all of which can be reached from the list on this page. Included on the Help page are links to video tutorials covering subjects like getting started with a new Digital Towpath website, using the Forms library to design custom forms, and using drafting and archiving to control workflow. The Help menu also includes a link to send a request to the Digital Towpath support system. Support can also be reached using the support form on the Digital Towpath website or by sending email to support@digitaltowpath.org.

Billing

When your website database is ready for content, an invoice for the annual fee of $500.00 will be mailed. If you require a completed voucher, please send it as soon as possible, or attach it to an email to vouchers@digitaltowpath.org. Most formats are acceptable, however PDF is preferred. Subsequent billings for this fee will be sent annually.
